Closing a business letter: templates you can copy
Closing a business letter: six templates for customers, employees, vendors, landlords and lenders, plus practical steps for a clear closure announcement.
Closing a company with 30+ employees?
A “closing a business” letter should tell each recipient when operations end, what happens to their orders, work or account, and whom to contact afterward. Use the six templates below as starting points. Replace every bracketed field and remove any promise you cannot carry out.
Prepare separate messages for customers, employees, vendors, your landlord and your bank or lender. A public announcement comes after the people handling the closure have consistent instructions. Put the communication dates alongside the other tasks in your business closing checklist.
Before you send a closing a business letter
Build one approved fact sheet: business name, last trading day, last order date, collection arrangements and a monitored contact. Give each draft an owner and a version date. This prevents a customer email from promising service beyond the date your team has been told to stop work.
Separate the last day of sales from the last day of support, collections and administration. If those dates are still undecided, say which detail you will confirm and when. An honest pending date is more useful than a deadline copied from an earlier draft.
Review contracts and the closure plan before sending notices that could affect them. Treat requests to end a lease, release security or change loan payments as requests until the other party confirms the arrangement. Save the signed response with the original agreement.
Whom to notify and when
Use this sequence as a planning aid. Your actual sequence should reflect the people involved, your contracts and your advisers’ instructions.
| Audience | Prepare before sending | Useful delivery record |
|---|---|---|
| Employees | Reviewed dates, payroll contact and individual follow-up process | Copy of the approved message and delivery list |
| Customers | Order list, support plan and refund contact | Sent email and published notice |
| Vendors | Reconciled purchase orders and invoice contact | Account-specific correspondence |
| Landlord | Lease review and proposed handover plan | Agreed inspection and handover record |
| Bank or lender | Account list, payment dependencies and authorized contact | Written bank instructions and confirmations |
| Public audience | Agreed closure facts and stable contact page | Screenshot or saved announcement |
As of November 2026, federal WARN generally concerns covered employers with 100 or more employees and requires 60 calendar days’ advance notice for covered events; counting rules and exceptions matter. State requirements can differ. Start with the Department of Labor’s WARN overview and our WARN notice guide before setting the staff announcement date.

Customer closure letter
This sample closing notice to customers works best when you have already decided how to handle outstanding business. Use individual messages for customers whose arrangements differ. Do not promise that another provider will take over unless that provider has agreed.
Subject: [Business name] will close on [date]
Dear [customer name],
We are writing to let you know that [business name] will stop [trading/providing services] on [date]. Our last day for new [orders/bookings] is [date].
For your current [order/project/booking reference], the agreed next step is [specific action]. Please contact [name/team] at [email/phone] by [date] if you need to discuss this arrangement.
[Include the confirmed process for collections, outstanding service, returns or refund requests. State any relevant dates clearly.]
After our final trading day, questions about existing business can be sent to [monitored contact]. [Explain the confirmed support arrangements and any limits accurately.]
Thank you for your business and for the trust you have placed in our team.
[Name] [Role and business name]
For a store closing announcement to customers, add opening hours and collection instructions where relevant. Check that email, signage and checkout messages give the same dates. Remove automated promotions that would invite orders you no longer intend to accept.
Employee closure letter
Discuss the delivery plan with your employment adviser before circulating this message. A general letter cannot establish individual entitlements or replace required notices. Give employees a route to ask private questions without putting personal payroll information into a group email.
Federal law does not generally require an immediate final paycheck, but some states do. The Department of Labor’s final paycheck guidance points readers to state requirements. Verify each employee’s applicable rules and use our final paycheck guide to organize that review.
Subject: Business closure and next steps for our team
Dear [name/team],
[Business name] plans to close its operations on [date]. [Brief, approved explanation, if appropriate.]
Your individual employment information will be provided [how and when]. It will address your anticipated last working day, pay arrangements, benefits information and the person who can answer questions. Please refer to that communication for the details that apply to you.
Until then, your point of contact is [name, role and contact]. We will hold [meeting or individual discussions] on [date/time]. You can also raise private questions through [channel].
Please follow [confirmed instructions] for company equipment, customer handovers and access to work systems. We will confirm any remaining arrangements by [date].
Thank you for your work and contribution to the business.
[Name and role]
Have managers use the same approved facts. Keep a list of questions that need an individual answer and assign someone to respond. If a date changes, issue a correction through the same channel instead of relying on a verbal update.
Vendor closure letter
Send this to a named account contact where possible. Match purchase orders to deliveries before asking a vendor for a final statement. Flag disputed items individually so the other party can identify them without reconstructing your ledger.
Subject: [Business name] closure: account [reference]
Dear [contact],
[Business name] will stop operating on [date]. Please direct correspondence about account [reference] to [name/email].
Our current records show [open orders, pending deliveries or invoice references]. Please send a current account statement and copies of any missing invoices to [contact] by [requested date]. This date is a request for reconciliation.
Please contact us before arranging further deliveries or services so we can confirm the applicable order or agreement. We propose [specific arrangement] for [remaining stock/equipment/service handover], subject to your confirmation.
Any proposed change to our contract or payment arrangements will be addressed separately in writing. Please confirm the appropriate contact for that discussion.
Thank you for working with us.
[Name, role and business name]
Avoid adding a blanket statement that all accounts are settled unless you have checked it. Save the final statement and any agreed adjustments. Keep this work tied to the creditor and contract register in your company wind-down plan.
Landlord closure letter
Use this to start a documented discussion about the premises. Have the lease and any guarantees reviewed before including a surrender date or describing the lease as terminated. Separate your proposed move-out date from an agreement the landlord has actually accepted.
Subject: [Premises address]: closure and proposed handover discussion
Dear [landlord/property manager],
[Business name], tenant at [address], plans to end operations at the premises on [date]. We would like to discuss the arrangements under our lease dated [date].
Our proposed schedule is [dates for access, inspection and handover]. Please confirm your availability and the correct contact for reviewing the lease, any proposed surrender and the condition of the premises.
We would also like to reconcile [rent, service charges, utilities and deposit records] and agree written instructions for keys, access devices and any equipment remaining on site.
Please send correspondence to [contact details]. We will document any agreed changes separately after review.
[Name, role and business name]
Photograph the agreed handover condition and keep an inventory of keys and access devices. Arrange an address for subsequent correspondence. Do not let the only copy of the lease disappear into a storage unit during the move.
Bank or lender closure letter
Start with instructions and a reconciliation, rather than a demand to close every account immediately. Map expected receipts, refunds and scheduled payments first. Ask your finance lead to identify which accounts still support the closure work.
Subject: [Business name]: closure planning for account ending [last four digits]
Dear [relationship manager/team],
[Business name] is preparing to stop operating on [date]. I am [name and role], and would like to confirm the process for reviewing our accounts and any associated facilities.
Please advise which documents and authorizations you require, the secure channel for providing them, and the steps for obtaining final statements and transaction exports.
For [loan or facility reference], please provide a current balance and the process for discussing repayment, security and any proposed release. We will review those details before agreeing next steps.
Our contact for this work is [name, email and phone]. Please confirm the arrangements for outstanding transactions and any continuing account access before an account is closed.
[Name and role]
Do not include passwords, complete payment credentials or identity documents in an ordinary closure email. Use the bank’s confirmed secure process. Store final exports with your accounting archive while you can still test that they open.
Short social post or store closing announcement script
Keep the public version brief and consistent with the individual notices. Direct customers to one monitored channel. Avoid inviting employees or creditors to discuss personal matters in public comments.
[Business name] will close on [date]. Our last day for [orders/bookings] is [date], and [confirmed collection or service information].
If you have an existing [order/booking/account], please contact [email/phone] with your reference so we can explain your next steps.
Thank you to our customers, team and suppliers for being part of the business. We will publish any changes to these arrangements at [website or contact channel].
Next steps
Check every placeholder, test the contact address and ask another person to read the dates aloud before sending. Keep copies of the final notices and responses under your business records retention plan. Assign someone to monitor the closure inbox after the last trading day.
